Terms & Conditions

These Terms & Conditions form part of the agreement between NLS BBQ & Catering LLC and Client for the event described in the signed proposal or invoice.

Booking & Confirmation

  • Events are confirmed only after:

    • Signed agreement

    • 20% non-refundable deposit payment

  • Dates are not held without a deposit.

Payment Terms

  • A non-refundable deposit of 20% is required at booking.

  • Additional charges and final balance are due 7 days prior to the event.

  • Late payments may result in cancellation of services.

Guest Count

  • Final guest count is due 7 days before the event.

  • Increases may be accommodated based on availability and may incur additional fees.

Event Access & Setup

Client agrees to provide:

  • Adequate space for food preparation and service

  • Access to electricity and water (if required)

  • Setup time of at least 4 hours prior to service                                           Delays caused by venue restrictions may result in reduced service time or additional labor fees.

Venue Rules

The Client is responsible for:

  • Ensuring the Caterer is permitted to operate at the venue

  • Any venue-required permits, licenses, or insurance

  • Compliance with venue rules and time limits

Menu & Food Service

  • Menu selections must be finalized 7 days before the event.

  • Substitutions may occur due to seasonal availability or supplier issues. Equivalent quality will always be provided.

  • Food safety regulations prohibit leaving perishable food out beyond safe service timeframes. NLS BBQ may discard food deemed unsafe.

Dietary Restrictions & Allergies

  • Client must notify NLS BBQ of dietary needs and allergies in advance.

  • While care is taken, we cannot guarantee an allergen-free environment due to shared kitchen and supplier facilities.

Equipment & Rentals

  • All catering equipment remains property of the NLS BBQ or rental partner.

  • Client is responsible for loss, theft, or damage caused by guests or venue staff.

  • Rental items must be available for pickup at the agreed time.

Staffing

  • Service times are outlined in the agreement.

  • Overtime is billed at $50 per hour, per staff member if the event exceeds scheduled time.

Client Responsibilities

Client is responsible for:

  • Guest conduct

  • Providing accurate event details

  • Safe environment for staff
    NLS BBQ may stop service if staff safety is at risk.

Leftover Food

Due to food safety laws, leftover food may only be released at Caterer’s discretion and with a signed waiver.

Damage & Cleaning

Excessive mess, spills, or damage caused by guests may result in additional cleaning or repair charges.

Force Majeure

The Caterer is not liable for failure to perform due to events beyond reasonable control (weather, government restrictions, disasters, etc.). Payments may be refunded or credited toward a future event.

Limitation of Liability

The Caterer’s liability is limited to the total amount paid by the Client. The Caterer is not responsible for:

  • Guest injuries

  • Property damage not caused by Caterer negligence

  • Delays caused by venue or third parties

Cancellations & Refunds

Cancellations are governed by the Refund & Cancellation Policy, which forms part of this agreement.

Photography

Caterer may photograph food setups for promotional use unless the Client requests otherwise in writing.

Governing Law

This agreement is governed by the laws of Indiana/United States of America.

By paying the deposit, the Client agrees to these Terms & Conditions.
